Getting Started
- What is Ledgeler?
- Ledgeler is a commission tracking and back-office management platform built specifically for real estate brokerages. It automates commission calculations, tracks agent performance against annual goals, generates professional invoices and disbursement vouchers, and gives you a clear picture of your brokerage's production — all in one place.
- Is there a free trial?
- Yes. Every new account starts with a 3-day free trial. You'll need to enter a credit card to start, but you won't be charged until day 4. Cancel any time before then and you owe nothing.
- Do I need a credit card to sign up?
- A credit card is required to start a trial. This allows us to activate your account instantly and ensures a seamless transition when your trial ends. You can cancel before day 4 and you will not be charged.
- What happens when my trial ends?
- On day 4, your card is automatically charged for the plan you selected. You'll continue to have full access with no interruption. If you cancel before day 4, your account is deactivated and you pay nothing.
- How do I cancel during my trial?
- Log in, go to Organization Settings (accessible from the sidebar), and click Manage Subscription. This opens Stripe's secure billing portal where you can cancel immediately. You can also visit the Pricing page and click "Manage Subscription" from there.
Plans & Billing
- What plans does Ledgeler offer?
- Ledgeler has three plans: Starter at $49/mo (up to 5 agents, unlimited transactions, commission calculations, basic reporting, 1 admin user); Professional at $99/mo (up to 25 agents, advanced commission splits, invoice generation and email delivery, agent performance tracking, closing calendar, 5 admin users, priority support); Enterprise at $249/mo (unlimited agents, custom commission structures, advanced analytics, multi-office support, API access, unlimited admin users, and a dedicated account manager). All plans are also available at a discounted annual rate.
- Do you offer annual billing?
- Yes. You can choose to be billed annually instead of monthly and save up to 16%. The Starter plan is $499/year (save $89), Professional is $999/year (save $189), and Enterprise is $2,500/year (save $488). You can switch between monthly and annual billing at any time through the billing portal.
- Can I upgrade or downgrade my plan?
- Yes. Open the billing portal from Organization Settings or the Pricing page and choose a different plan. Upgrades take effect immediately. Downgrades take effect at the start of your next billing cycle.
- What payment methods do you accept?
- We accept all major credit and debit cards — Visa, Mastercard, American Express, and Discover. For annual Enterprise plans, invoiced billing can be arranged. Contact us at hello@ledgeler.com.
- How do I cancel my subscription?
- Go to Organization Settings → Manage Subscription. You'll be taken to Stripe's billing portal where you can cancel at any time. Your access continues until the end of your current billing period — we don't pro-rate or cut you off early.
- Can I get a refund?
- Because every plan includes a 3-day free trial before any charge, we generally don't issue refunds for subscription charges. If you believe you were charged in error, email us at hello@ledgeler.com and we'll review it promptly.
Features & How Things Work
- What is a transaction in Ledgeler?
- A transaction represents a real estate deal — either a sale or a lease. Each transaction stores the property address, closing date, sale price, commission rate, agent assignment, and transaction type (sale or lease). Ledgeler automatically calculates GCI, agent commission splits, company dollar, E&O deductions, and referral fees based on the values you enter.
- What is GCI and how does Ledgeler calculate it?
- GCI stands for Gross Commission Income — the total commission earned on a transaction before any splits. Ledgeler calculates it as Sale Price × Commission Rate. From GCI, it then applies your configured agent split percentages, E&O fees, referral fees, and company dollar to arrive at each party's net payout.
- How does agent performance tracking work?
- In the Agent Production section, you set an annual GCI goal for each agent. As you log closed transactions, Ledgeler tracks each agent's cumulative GCI for the year and shows their progress as a percentage of their goal. The dashboard surfaces your top performers and gives you a brokerage-wide production snapshot.
- What is a Commission Disbursement Authorization (CDA)?
- A CDA (also called a Commission Disbursement) is a formal document that details how the commission from a transaction will be divided among the parties. Ledgeler lets you create, review, and digitally sign CDAs. The Broker-in-Charge (BIC) and Transaction Manager roles can sign off on disbursements directly within the platform.
- Can I generate and email invoices?
- Yes, on the Professional and Enterprise plans. Ledgeler generates professional PDF invoices with your brokerage logo, colors, and contact details. Invoices can include annual rent escalator schedules for leases. You can email invoices directly from Ledgeler with one click, and track whether they've been sent, viewed, or paid.
- What reports are available?
- Ledgeler includes several built-in reports: Agent Performance (individual GCI and transaction history), Commission Distribution (how commission is split across your team), Monthly Sales (month-over-month production trends), Summary Stats (brokerage-wide KPIs at a glance), and Custom Reports (filter by date range, agent, or transaction type and export to CSV).
- What is the Closing Calendar?
- The Closing Calendar gives you a visual, month-by-month view of all your transaction closing dates. Pending deals appear in yellow and closed deals in green. It's useful for spotting upcoming closings and understanding seasonal production patterns across your brokerage.
- What are the Marketing Tools?
- The Marketing Tools section lets you track property-level status for physical marketing items — yard signs, lockboxes, and key sets. You can see which properties currently have signs or lockboxes out, helping you stay organized and avoid losses. It also includes an Agent Templates section where you can generate ready-to-use email signatures and business card layouts pre-filled with your agent and brokerage data.
Setting Up Your Account
- How do I set up my brokerage information and branding?
- Go to Organization Settings and fill in your brokerage name, address, phone number, license number, and business license. You can upload both a primary and secondary logo, and set your brand colors. This information automatically appears on all invoices and disbursement vouchers you generate.
- How do I add agents to my account?
- Navigate to the Agents section and click Add Agent. Enter the agent's name, license number, commission split percentage, and annual GCI target. Once added, agents appear in your transaction drop-downs and performance reports. Agents can also be invited to log in with their own credentials using your organization's invite code.
- How does the invite code work?
- Every Ledgeler organization has a unique invite code found in Organization Settings. Share this code with a team member and they can register their own account at ledgeler.com, enter the code during sign-up, and be placed into your organization with the role you assign them.
- Can I import my existing transactions or data?
- Yes. We support CSV import for transactions, and for Enterprise customers we can assist with a full data migration. Contact us at hello@ledgeler.com with your data and we'll help you get set up quickly.
- What user roles are available?
- Ledgeler has three roles: Admin (full access to all features, billing, settings, and data), Manager (can manage transactions and view agent data; access to marketing tools), and Agent (access to their own transactions and performance data). Admins can assign and change roles for any user in the organization from the User Management section.
Security & Privacy
- Is my data secure?
- Yes. Every piece of data you enter is encrypted in transit over TLS and encrypted at rest in our PostgreSQL database. Passwords are hashed using bcrypt — they are never stored or transmitted in plain text, not even internally. Sessions are stored server-side and expire automatically. We follow industry-standard security practices and perform regular database backups.
- How does Ledgeler keep my organization's data isolated from other customers?
- Ledgeler is built on a strict multi-tenant architecture. Every record in the system — transactions, agents, commissions, invoices, and disbursements — is tagged with your organization's unique ID at the database level. Every API request that reads, updates, or deletes a record first verifies that the record belongs to your organization before proceeding. A user from another organization cannot access your data, even if they somehow obtained the URL or record ID of one of your resources — the server will return a 403 Forbidden response and the request will be blocked.
- Who can see my brokerage's data?
- Only users you have personally invited into your organization. Ledgeler's role system further controls what those users can do: Agents can view transactions; Managers can create and edit records; Admins have full control including deleting data and managing team members. No Ledgeler employee can browse your records through the application.
- What happens to my data if I cancel?
- Your data remains in our system for 30 days after cancellation in case you change your mind. After 30 days it is permanently deleted. If you need a full export of your data before cancelling, email us at hello@ledgeler.com and we'll send you a complete export.
- Is there a mobile app?
- Not yet — Ledgeler is currently a web application. It is fully responsive and works well on mobile browsers. A dedicated iOS and Android app is on our roadmap.
